Data and purposes of useWhat might we collect, why, and how does it reach us?

Data we may collect

We may collect or receive different kinds of data depending on how you use the site, including:

  • Name
  • Email address
  • Phone number, when provided
  • Organisation or project name
  • Professional or job role
  • Links to accounts, websites or digital pages
  • Assessment form responses
  • STRATA or other assessment tool results
  • Information about digital presence or a professional challenge
  • Files, links or content examples you submit for review
  • Data relating to a service or paid review request
  • Basic payment data such as status, amount, date and reference
  • Information you voluntarily send by email, forms or meetings

We do not ask you to send highly sensitive data unless necessary to understand the case. Please avoid sending confidential or highly sensitive information before there is a clear agreement on how it will be handled.

Why we use your data

We use data for the following purposes:

  • Understanding your situation or request
  • Operating assessment tools
  • Preparing an initial assessment or professional review
  • Determining whether a case is suitable for engagement
  • Contacting you about your request
  • Arranging meetings or follow-ups
  • Sending agreed recommendations or deliverables
  • Processing payments and invoices
  • Improving the site and tool experience
  • Protecting the site against misuse
  • Keeping professional and financial records when needed
  • Complying with applicable legal or regulatory obligations

We do not sell your personal data to third parties.

How we collect data

Data may be collected through:

  • Site forms
  • Assessment tools such as STRATA
  • Payment or service request pages
  • Email address
  • In-person or virtual meetings
  • Professional correspondence
  • Files or links you send
  • Basic site analytics tools

We do not normally collect more data than necessary for the specified purpose.

STRATA and AIConversations, shared materials and limits of outputs.

AI and conversation use

What is sent to the provider

STRATA uses AI to assist with identity, positioning, digital media and influence systems. Only the message and materials you choose to share are sent to the provider when the connection is available, under its terms; we do not promise zero retention by the provider.

Visitor conversations and user accounts

Completed account conversations are saved in their owner's account. A visitor conversation stays in the browser and does not transfer automatically on sign-in; transferring a copy requires a preview, consent and an approved transfer policy. Original attachments are not automatically copied to the conversation history.

Current exploration and earlier assessments

The new exploration is a qualitative conversation without a questionnaire or scores. Earlier assessments remain historical records without recalculation. Outputs are suggestions that may be wrong; they do not approve a case, professional report, agreement or payment.

When submitting a case for review

When a case is submitted, the summary and selected materials you confirmed are saved as a fixed snapshot for the authorised case owner. Later conversations and updates are not added automatically. Sharing the case summary with the assistant is a separate explicit choice and does not include files or follow-up submissions. Case permissions apply to the review team.

Retention and deletion requests

Deletion requests for conversations, attachments and case records are reviewed according to the data category and related obligations. The 90-day period for tool outputs does not apply to them. Case-linked records require review before deletion. Do not send passwords, access keys or unnecessary sensitive data. For enquiries, access requests or deletion review: hello@besterra.io.

Assessment tools and STRATA

When using STRATA or another assessment tool on the site, your responses may be collected and analysed to produce an initial view of digital presence, clarity, positioning, operation, fragmentation or readiness.

Assessment results are not a final diagnosis and do not automatically mean you are accepted for an engagement.

Assessment results may be used internally to:

  • Understand your overall situation
  • Suggest the next step
  • Identify the need for STRATA Pro Review
  • Estimate readiness or complexity
  • Improve the tool's accuracy in general, without identifying individuals where possible
